CalendarPro is a rules-based calendaring engine for attorneys or other professionals. CalendarPro works as a stand-alone program to use with a manual calendaring system, or completely integrates with Microsoft Outlook.
In Outlook, CalendarPro is a powerful rules engine that generates Task and Appointment Items from the date calculations based on the rules you create, edit or delete. The rules can be saved together in a set as a file for re-use or printing. To use CalendarPro, simply enter the date of your event, open a rules set or add new rules, and the resulting deadlines are automatically calculated. You can then automatically create the Outlook items based upon the resulting calendar you have created, print the resulting calendar, or save it to a file. Once you have created a rules set, you can save it for future re-use.
Using the weekend options, you can tell CalendarPro to exclude the last day of the time period from the computation if the last day lands on a Saturday, Sunday, or Holiday. You can create, edit and save your own list of Holidays, or import your Outlook Holidays. You can also specify CalendarPro to use court days or business days. CalendarPro comes with a full-featured Help program, but it is an easy utility to operate and has a simple interface.
Here is an example of CalendarPro in action. When an attorney has a motion, generally, the moving brief must be filed 20 days before the motion, the opposing brief is due 5 days before the motion, and the reply brief is due 3 days before the motion, and, say you want to remind yourself to prepare an order 5 days after the hearing.
Thus, for a motion there would be four rules: 20 days before, "File motion brief"; 5 days before, "Opposing brief due"; 3 days before, "Reply brief due"; and 5 days after, "Follow up on preparing order". With these rules, input the motion date, and CalendarPro automatically calculates the resulting deadlines and CalendarPro automatically creates the Outlook Task or Appointment Items. If the motion is later continued, input a new date and CalendarPro automatically recalculates the resulting deadlines and updates the Outlook Task or Appointment Items you have created in Outlook.

CalendarPro is not designed to run in a client/server environment. However, CalendarPro may run on a network as long as it is installed on each individual client. In a networking environment, the application files may be installed to a mapped network share; or, the setup files may be copied to a network share and the installation run from each client.
CalendarPro may be used in Microsoft Exchange. CalendarPro will create your Outlook Items in any folder you specify, including Exchange Public Folders. In addition, you can publish the CalendarPro templates to a public folder for use throughout your organization (subject to your license).
CalendarPro is a rules-based
calendaring system. CalendarPro creates a litigation deadline calendar, or
Event Calendar. An Event Calendar consists of the deadlines leading up to
a litigation event, such as a motion or trial. The deadlines are compiled into a
set of rules that you can create, edit, and delete. You can save different sets
of rules for different types of events.
For instance, when a lawyer has a motion in court: 20 days before the motion,
the moving brief must be filed; 5 days before the motion, the opposition brief
must be filed; and 3 days before the motion, the reply brief must be filed. In
this case, the litigation deadline calendar would contain three rules:
20 days: Last day to file the moving brief
5 days: Last day to file opposition brief
3 days: Last day to file reply brief
Once the set of deadlines is entered, the motion or event date and the resulting
dates are automatically calculated from that motion or event date. In the
preceding example, if the motion date were September 20, then September 1 would
be the last day to file the moving brief, September 15 would be the last day to
file the opposition brief, and September 17 would be the last day to file the
reply brief. You can save this set of rules, print the calendar, or create
Microsoft Outlook items for the resulting dates.
To create a new Event Calendar, you can use the New Event Calendar Wizard. In the wizard, you can enter the Event Date, the Event Name, and the Event Description. You can choose to create a new Rules Set, or Open an Existing Rules Set. If you create new Rules Set, click on the Add button to begin adding new Rules. If you Open an Existing Rules Set, the Rules Set you opened will appear. You can create, edit and save Rules Sets to reuse for specific events. You can print your rules sets and the resulting Event Calendar to save as a paper record of your deadlines. Click on the Finish button to see your Event Calendar with the resulting dates calculated. You can save the Event Calendar and open it again if the date changes. Change the date and the resulting dates are automatically recalculated.
How is it integrated with Microsoft Outlook?
You can create Outlook Items for the Event Calendar by clicking on the Outlook button on the button bar. You can edit the Outlook items before saving, create an Appointment Item for the Event Date, and put the Event Name in the Categories field.
You can fully integrate CalendarPro with Microsoft Outlook. CalendarPro comes with an Outlook template (“CP_EventTemplate.oft”). You can publish this form by using the Forms Publisher feature of CalendarPro. Or, Simply double-click this template and publish the form. Then you can open a new Event Calendar from the Microsoft Outlook Actions: New Event Calendar menu. You can then use CalendarPro inside Outlook on its own custom form. This is the same interface as the stand alone version, with all of the same features.
Once you create an Event Calendar from the custom form, the Event Calendar and all the rules are saved with the Event. Open the Microsoft Outlook Appointment Item containing your event, click on the CalendarPro tab, and there is the CalendarPro Event Calendar. If you change the date, the Event Calendar is automatically updated, and you CalendarPro can update all the Outlook Items you have created with the new date.
In addition to all the regular features, if you create an Event Calendar inside Outlook and click the “Create an Appointment Item for the Event Date” on the Outlook Options, the Event Name, Event Description, and the Event Date fields will be transferred to the Outlook Item you are working on. Click on “Save and Close” button after creating your Event Calendar and you can save an Appointment Item for your event!
What are the CalendarPro Options?
You can specify CalendarPro to exclude the last day of the time period from the computation if the last day lands on a Saturday, Sunday, or Holiday. You can specify whether the calculation will count court days. Court days (or business days), are Monday through Friday. You can Add, Edit, and Delete a customized list of Holidays. For each Holiday, you can enter a Holiday date and a Holiday description. A set of Holidays is provided with CalendarPro.
CalendarPro also records the Event Names and Event Descriptions as you enter them into the program. These lists are stored in the Options so you can edit, delete and create them. These lists are stored as files that can be shared within an organization.
Q. The installation prompts me to reboot because I do not have the up-to-date files.
A. CalendarPro uses the most recent Microsoft system files. If your version of Windows does not have the most up-to-date files, CalendarPro will install them for you. In the alternative, go to the Microsoft website and find the most recent updates or service packs for your operating system. This should install the most recent up-to-date files. Use this procedure if you are prompted repeatedly to reboot.
Q. The installation repeatedly prompts me to reboot.
A. The most likely cause is your installation cannot read the Microsoft system files copied to your machine's system directory. If you are on a network, log off and retry installation. If that fails, download the Microsoft system files required by CalendarPro and copy them to your machine's system directory. Before this, or any system change, make a full system backup.
Q. The installation prompts me to insert Disk 0.
A. This means that the installation process cannot locate the source files. You probably have bad disks. Contact us and we will send you new disks or email the installation files to you.
